This explains what personal information TTR Motorsport collects, why, who else handles it, and your rights. We keep it to what we need to look after you and your car.
Who we are
TTR Motorsport is a trading name of TTR Garage Solutions Ltd, registered in England and Wales, company number 17001746. Registered office: Dunston Farm, Dunston, Stafford, ST18 9AB.
The registered office is for correspondence only. To visit us, come to the workshop: Unit 17 Norton Canes Business Park, Norton Green Lane, Cannock, WS11 9SS (contact).
TTR Garage Solutions Ltd is the controller of your personal information. We are registered with the Information Commissioner's Office, number ZC097511.
What we collect, and why
When you get in touch or book work
Your name, phone number, email and address; your car's make, model and registration; what you want done; and the history of the work we do. We use it to quote, book, carry out and invoice the work, and to contact you about it. Our basis is the contract with you, or the steps before one. We keep invoices and job records because tax law requires it.
Phone calls are recorded and analysed
Calls to and from TTR Motorsport are recorded. Our phone provider makes a recording and a written transcript of each call. Our workshop system, MAX, then uses AI call analysis to read the transcript and note what the call was about, what was asked for and what was agreed, and whether anything still needs a reply.
We do this to:
- make sure no enquiry or promise gets lost, and that we call you back when we said we would;
- keep an accurate record of what was agreed about your car;
- train our team and improve how we handle calls;
- resolve any disagreement about what was said.
Our basis is our legitimate interest in running the workshop well and keeping accurate records. The analysis helps our team; it does not make decisions about you on its own. A person always decides what happens next. If you would rather a call was not recorded, tell us at the start, or contact us another way (in person or by email).
If you message us on WhatsApp, we keep the conversation with your number and name, for the same reasons as a call. Messages pass through WhatsApp and the service we use to run our WhatsApp business account.
This website
The site works without any tracking. With your permission only, we use analytics to see how the site is used and advertising tags to measure our adverts. See Cookies below.
Who else handles your information
We use trusted providers to run the business. They handle your information on our instructions, under contract, and only for the purposes above:
- Garage Max Software Ltd: provides MAX, our workshop and AI call analysis system, and runs the servers and databases that hold our data, in Helsinki, Finland;
- backup providers that keep encrypted copies of that data for 30 days, in Falkenstein, Germany, and in Amsterdam, the Netherlands (the Amsterdam copy is held by a US company in its European region);
- our network and security provider (a US company), which carries traffic to this website and stores its images and video in its European region;
- our phone provider, which records and transcribes calls;
- an AI provider, whose model MAX uses to analyse call transcripts. It processes a transcript only to return the analysis, and does not use it to train its models;
- our workshop management system (bookings, job cards and invoices);
- our WhatsApp business messaging service;
- an email delivery service, which carries messages sent through the enquiry form on our contact page to our inbox;
- an online map service, which shows the map on our contact page. Loading the map sends your IP address to that service; it sets no cookies;
- website analytics and advertising providers, only if you accept cookies (named under Cookies below).
You can ask us for the names of the providers who handle your information.
We do not sell your information. We share it with others only where the law requires it, or with your say-so (for example a finance provider you apply to through us).
Outside the UK
Our servers and backups are in Finland, Germany and the Netherlands. UK law recognises the European Economic Area as giving personal information the same level of protection as the UK, so no further safeguard is needed for them. Some providers, including our AI provider, our network provider and the website analytics and advertising providers, process information in the United States. Where they do, the transfer is covered by the protections UK law requires: the UK-US data bridge, or the UK International Data Transfer Addendum.
How long we keep it
- Job records and invoices: six years after the work, as tax law requires.
- Call recordings, transcripts and their analysis, and WhatsApp conversations: as long as you are a customer or enquirer, and no longer than we need them for the purposes above.
- Backups roll over every 30 days, so deleted information leaves them within a month.
- Website analytics: as set by each tool, and only if you accepted.
Your rights
You can ask us to:
- give you a copy of the information we hold about you, including call recordings and transcripts;
- correct anything that is wrong;
- delete it, where we have no reason to keep it;
- stop or limit using it, including objecting to call recording and analysis;
- send it to you or someone else in a usable format.

If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner's Office: ico.org.uk, 0303 123 1113.
Cookies
Nothing is set until you say yes. When you first visit, you choose whether to allow each kind. Say no and nothing loads. We remember your choice in your browser (not a cookie) so we don't ask again. You can change it at any time with Cookie settings at the foot of every page.
- Analytics (only with your permission): Google Analytics, Microsoft Clarity and PostHog, to see which pages are useful and where the site gets in the way. Clarity and PostHog can record how the page is used (clicks and scrolling).
- Advertising (only with your permission): Google Ads and the Meta Pixel, to measure whether our adverts lead to enquiries.
If you withdraw consent, those tools stop loading and we clear the cookies they set on this site. Cookies a provider set on its own domain are controlled by that provider and your browser settings.
Changes
If we change this policy, we update it here and change the date at the top.
